How Hostels Automate Group Booking Quotes on WhatsApp

A group quote has to clear availability, policy, weekday rules, meal plans and discounts before anyone can price it. Zostel's agent runs those checks on WhatsApp and voice, then follows up until the group pays.

To automate group booking quotes, write every pricing check your sales team runs as a rule in code, then let an agent run those rules in the chat. The agent collects headcount and dates on WhatsApp or a call, prices the stay and sends a booking link. It follows up until the group pays, and anything the rules don't cover goes to your team with the details already captured.

Our examples come from Zostel, India's largest backpacker hostel brand, which runs our group booking agent across chat and voice.

Group quotes are slow by hand

Take a typical enquiry. Fourteen people want four nights at a hill-town hostel next month, in dorm beds and two private rooms, with breakfast.

Before anyone can send a price, someone has to answer six questions:

  • Are there enough beds free on all four nights, in that mix?
  • Does this property take groups this size, and on what terms?
  • Do any of the nights fall on a weekend with a different rate?
  • What does breakfast cost per head per night?
  • Which discount applies, and does it combine with anything else?
  • Is the organizer a travel partner with an agreed rate?

The answers sit in different places: the PMS, a policy document, a rate sheet and the head of sales's memory. Working through them takes a person a while. Two people working through the same brief can land on different totals. Meanwhile the organizer has messaged three other hostels.

Zostel ran into this as group demand grew fast. Every group stay had to clear availability, property policy, weekday rules, meal plans and discounts before anyone could price it. Zostel wanted each quote priced at once, with the same result every time.

WYSE Travel Confederation and UN Tourism estimate that young travelers made up 23% of international arrivals in 2023, more than 296 million arrivals. Their study also found fewer young people traveling alone than in 2017.

Encode the checks as rules

List every check your team runs, then decide where each one lives. Across Zostel's agents we keep facts behind APIs and math in code, and group pricing follows the same rule. If a model adds up the group total, the organizer can argue it into their own number, and code won't move.

Tone and languagePromptReply in the organizer's language, keep it short

Only the last row belongs in the prompt. Every other rule returns a number or a yes or no, and the agent reads it out. Given the same brief twice, the agent should produce the same total to the cent.

Then test the rules the way you'd test code. At Zostel, each change to the agents must pass more than 250 test scenarios before it ships. For group pricing, add the briefs that trip people up: a stay that runs into a weekend, a partner who also has a coupon, a headcount that changes halfway through.

Collect the brief in chat or voice

The agent needs a short brief before it can price anything: headcount, dates, room mix and meal plan. Some organizers send all of it in one message. Others drip it out over two days. Ask only for what's missing, and confirm anything ambiguous before running the checks. "Fourteen people" and "fourteen beds" can be different numbers once a couple wants a private room.

Let the organizer stay on whichever channel they started on. Zostel's group agent works across chat and voice, so a brief that starts on WhatsApp can continue on a call.

Look the organizer up by phone number before the first reply. If the number belongs to a travel partner, the agent applies their agreed rates from the start. If you already run a WhatsApp booking agent for individual stays, route any enquiry above your group threshold to the group flow.

Once the checks pass, send the quote as one short message. Include the total, the price per head, what's included and when the quote expires. Put the booking link in the same chat, so the organizer can pay without emailing anyone or filling in a form.

Give every quote an expiry. The deadline protects your inventory, and it gives the organizer something concrete to tell the group: "we lose the beds on Thursday."

At Zostel, guests complete 81% of payments through links the agents generate.

Follow up while the organizer collects money

Collecting the money takes the longest. The organizer has to post the price to the friends' chat, wait for everyone to confirm dates and collect each share.

Most Zostel bookings close in under 30 minutes. Group bookings take longer because one guest checks dates with the rest. The agent has to remember where the conversation stopped and come back at the right moment. One Zostel group booking went back and forth daily for a week, and the agent kept track the whole time.

Plan these follow-ups around WhatsApp's rules. A guest's message or call opens a 24-hour customer service window, and each new message resets it. After it closes, you can send only pre-approved templates. A reminder about the organizer's own pending booking counts as a utility template. Add an offer to it and Meta treats the whole template as marketing.

Budget for these messages. Since October 1, 2026, Meta charges for utility templates sent inside an open window, and for service replies beyond the first 1,000 per business phone number each month. Send few reminders, and stop the moment the group pays. We cover templates and pricing in more detail in how hotels automate WhatsApp bookings.

Then call before the quote expires. A text reminder can sink in a busy group chat, and a call asks for an answer. At Zostel, if a group has a quote but hasn't paid, Ananya, the group agent's voice, calls before the link expires. About one in three groups she reaches confirms on the call. Anyone whose link has already lapsed gets a fresh one on WhatsApp. These are outbound calls from the same kind of voice agent that runs as an AI voice receptionist on property lines.

Hand exceptions to people

Some groups need something your rules don't cover, like a full-property booking, a custom meal or dates your policy blocks. Decide which cases go to a person and write them down as routing rules too.

A good handoff saves your team the first five messages. At Zostel, groups that need something special reach the team with every detail already captured. Escalations arrive as one ticket with the guest's number, booking and issue. The salesperson picks up from the brief and doesn't have to ask the organizer how many people are coming.

Numbers to track

Track these from the first week:

  • Time to quote. From the organizer's first message to a priced quote.
  • Resolution rate. The share of group chats the agent closes without staff.
  • Link-to-payment rate. The share of booking links that end in a payment.
  • Expired quotes. The share of quotes that lapse unpaid, and how many of those book after a call or a fresh link.
  • Call confirmations. The share of groups reached by phone who confirm on the call.
  • Volume per person. Group enquiries handled per sales or ops staff member.

Read a sample of group conversations every week as well. You'll spot a broken flow in the metrics and find the cause in the transcripts.

Zostel's results

Zostel has 111+ properties across 70+ destinations in India and Southeast Asia, with hostels, homes and travel experiences for solo travelers and groups. Zostel and Osvi built specialist agents: Zobu for guest enquiries on WhatsApp, a group booking agent across chat and voice for group and B2B stays, and a voice agent on property phone lines.

The group agent collects headcount and dates, runs every pricing check and sends a booking link. It stays with the guest until payment is done.

  • The agents fully resolve 77% of group chats.
  • Guests complete 81% of payments through agent-generated links.
  • About one in three groups Ananya reaches before expiry confirms on the call.
  • Guest chats grew more than fourfold since July 2026, and group conversations grew at the same pace.
  • Monthly bookings through the agents grew 50% from June to August 2026.
  • Zostel's ops team handles 10x the volume per person.
  • The hallucination rate is under 1%.

Most of that came from work outside the prompt: integrations, tests and handoffs. We wrote about it in The Prompt Is 10% of Your Support Bot. For the other guest flows a hotel or hostel can automate, see our AI agents for hotels.
